We welcome charity information days or sponsored events within Windsor Great Park. As a public space and operational Estate, you will need permission to do so. Please read the information below which will help you to decide if Windsor Great Park is the right place for you to hold your event.

How do I contact Windsor Great Park to organise a charity information day or event?

Which days can I hold my charity information day or event?

You can generally hold events from Mondays to Saturdays. Due to the number of visitors to Windsor Great Park, we do not permit events on Sundays or Bank Holiday weekends.  

  • When you contact us, please specify your preferred date(s), so that we can check for availability 
  • Please do not advertise your event until a team member has confirmed your date 
How far in advance do I need to apply for permission?

Apply as soon as you can but you will need to apply at least fourteen (14) days prior to your requested charity event date. As an operational Estate, we regret that not all applications will be successful.

How do I plan my event/route? 

Please visit Windsor Great Park and decide your preferred location or route before booking your event so that you can provide us with a map of your chosen location/route. 

If you require assistance on the day of your research visit, please let us know here, and a member of our Visitor Services Team will meet you onsite to give you guidance .

What type of event can I hold?

What type of fundraising is permitted at Windsor Great Park? 

Approaching our visitors to request donations is not permitted.  

However, visitors may approach you to learn about your event and donate.  The use of QR codes is allowed if a visitor approaches of their own accord. 

Can dogs be involved in our charity event? 

We do allow dogs, but the decision will depend on your preferred location and the number of attendees. 

Please let our team know if you would like to include dogs as part of your event. 

Can I hold a cycling event? 

Sorry, cycling events are not permitted. 

Can I hold an event on Virginia Water Lake, i.e. swimming, canoeing? 

No. Events on Virginia Water Lake are not permitted. 

Can we have an information table or gazebo? 

When contacting us, please specify if you would like to use an information table or gazebo. 

We assess each request based on location, footfall and the weather forecast for the day of your event. 

Paperwork and charges

Is there a charge to hold an information day or charity walk/run at Windsor Great Park?

For events with 50+ attendees, there is an administrative charge of £50 (payable by invoice).  

There is no charge for events with under 50 attendees, although you must still notify us about your event.  

Is there any paperwork to complete? 

For events with 50+ attendees, our team will ask you to complete a small number of forms that we will supply.  

We will also require the following: 

  • A signed copy of an event licence 
  • Your risk assessment 
  • Public liability insurance certificate 
  • A map outlining any route that you will be taking in the park  

This paperwork must be completed and returned to us before your event date. 

How to find us and parking

Where can our attendees park? 

Please consider car parks in relation to your preferred location and route. Windsor Great Park is very large, so choosing the car park that is right for you will make a big difference to your day.

Can our attendees arrive by coach? 

Please make our team aware if you require coach parking.  

Coaches must use the Coach Park at the Savill Garden Visitors Centre. Coach parking is subject to availability and a £50 charge per coach, which is in addition to the event fee.

Coaches cannot be parked anywhere else in Windsor Great Park.

Can our attendees arrive by Mini Bus? 

Mini Buses can park in our Savill Garden Visitors Centre visitor car park, where our standard car park charges will apply.  

Note that Mini Buses cannot be parked at Virginia Water.  Please inform our team if your attendees will be arriving by Mini Bus. 

Is free parking available for the charity event organisers or attendees? 

There is no free parking available. Standard visitor car park or Coach Park charges will apply.  More information about our car parks and charges can be found here.

Can we drive our vehicles into the Great Park to set-up at our charity base/starting point? 

Vehicles of any kind are not permitted in Windsor Great Park. You must use the car parks only. 

Rules of the Park

Can we place signage in the ground, or on trees around our route? 

Placing signage for your route is not permitted.  We recommend that you create a map that your attendees can follow. 

Is there a Park map & guide that I can have?

Can we bring a professional photographer for our event? 

This is permitted only if the photographer is taking photos for attendees’ personal use or if 100% of the photographer’s fee goes to the charity. 

Please let our team know if you wish to bring a professional photographer to your event.    

Can I use a drone to film in Windsor Great Park? 

Filming and photography with drones is not permitted in Windsor Great Park and on the wider Estate. 

Can Windsor Great Park Staff assist us with transporting items or individuals for our charity event using their vehicles? 

The team is unable to assist with transporting items or individuals.

How long is the walk around Virginia Water Lake? 

The path around Virginia Water Lake is 4.3 miles. 

Can I hold a Commercial Charity Event at Windsor Great Park?

We do  permit commercial charity events at Windsor Great Park. This will require you to follow a different process. More information about this can be found here
